Graphite Connect allows you to switch a Network Connection to a Non-Network Connection quickly and easily. When you convert to a Non-Network, any information available to you at the current stage (e.g. Response, Review, Connected) is saved into the new Non-Network profile, making it seamless to expedite a slow-to-respond supplier.
Almost as easy - switching the connection from Non-Network to Network. When you do this, the system sends an invitation to the supplier, allowing them to complete their profile and submit the information back for your review.
How to convert TO a non-network connection
Only Admins can convert a supplier profile from a network to non-network profile within the Admin pages. Navigate to Admin > Connections, search for the supplier, and select “Convert to Non-Network”.
This will create a second profile for that supplier, allowing all network data shared with the buyer to carry over to a non-network profile, preserving the original network profile. The second non-network profile that is created will carry over any data that the supplier has agreed to share with the buyer already, even if the profile is incomplete.
By default, the action to complete the Non-Network form will be assigned to the Business Owner.
The supplier still owns their original profile, but the connection to your company is effectively canceled. You will see this in the history of the Admin > Connections page. The supplier will no longer see any open tasks, and if the conversion was made prior to the invitation being accepted, the invitation link will no longer work.
How to convert FROM a Non-Network Connection to a Skeleton Invitation
At this time, the Graphite Support team must assist with converting a Non-Network Connection to a network profile.
Upon request by the Vendor Master team, Graphite Support can convert a non-network profile to a network invitation so that your supplier can own their profile. When this conversion happens, the supplier profile will be pre-populated with all information in the Non-Network except the tax details and the banking details. This information will always be the responsibility of the supplier.
When the conversion happens, the following tasks are triggered:
- Any new NSJ questions that are required based on your company's business logic must be completed, including the invitation recipient's name and email address
- The supplier will be required to fill out all survey questions that were not pre-populated (this is often more than required for Non-Networks)
- The supplier will be required to complete tax and banking questions, and must complete any necessary bank approvals
- The supplier must submit the information back for review
- Your teams will be required to complete all necessary onboarding steps based on your business logic (the act of doing this conversion does not bypass your workflows)
- At the Connect stage, a task will be created for your Connection Data teams, indicating that this was a conversion from a Non-Network and all data should be reviewed
‼️Your internal use data will be attached to this new profile, but must be carefully reviewed by your AP team prior to re-syncing with your ERP to ensure that all critical commercial details align with expectations, such as addresses, tax details, and bank account information.
