Overview
The "Branch Creation" process is essential for managing instances where multiple companies share the same Tax ID, such as Subsidiary companies, Sister Companies, Parent-Child companies, or companies that are part of a holding group. This process ensures that the information within the Graphite platform remains accurate by handling cases where a branch profile may be necessary.

Process Flow
  1. Vendor Invitation and Tax ID Entry
    • Critical Requirement: An invitation from the customer is necessary for initiating the branch creation process. Without this invitation, the vendor or Graphite Support Team cannot proceed with the branch creation.
    • When vendors accept an invitation and enter their Tax ID into the Graphite platform, the system automatically checks for any duplicate Tax ID records to maintain data accuracy.
    • If a duplicate Tax ID is found, the vendor is notified of the duplicity and presented with a list of matching companies already in the system.
  2. Verification of Correct Company
    • The vendor reviews the list of matching companies. If none of the presented options is the correct company due to situations such as Subsidiary companies, Sister Companies, etc., the vendor is given the option to proceed with the process.
  3. Support Ticket Creation
    • Upon proceeding, a support ticket is automatically generated and sent to support@graphiteconnect.com.
    • The Graphite Support Team receives the ticket and begins analyzing the specific case to determine if a branch profile is necessary.
  4. Case Analysis by Graphite Support Team
    • The Support Team contacts the vendor to request additional information, including:
      • Tax ID
      • Tax situation
      • Relevant tax forms (e.g., W-9, W-8BEN-E)
    • The team compares the provided tax information with the existing company profile in the system to identify any similarities or discrepancies.
