Security Updates: Identify Unverified Suppliers & Adjust Your Settings

image (30).png

As part of our ongoing fraud- and risk-prevention initiatives, we are making two large updates to our security approach.

First, customers will now be able to adjust their security settings to allow suppliers who are unable or unwilling to complete identity verification to bypass that protocol within Graphite Connect. Customers will be able to work with their Customer Success Manager to configure when to enable or disable this security feature. For example, a customer may want to disable the ID verification if:

  • The supplier type is considered low risk;
  • The supplier is a VIP/high-profile individual;
  • The supplier operates in a country where ID verification is particularly arduous.

Customers with Main Admin privileges will be able to do individual overrides as well (outside of overall security preferences) for one-off instances where there's a desire to bypass ID verification for a specific supplier. This can be done my the main Admin inside of the supplier's Trust Center.

Second, suppliers who bypass this identity verification will still be able to join the Graphite Supplier Network and connect with other companies. These suppliers will be clearly identified to the customer who invited them, as well as other buyers, as “Unverified” with a red icon on their Graphite Connect profile.

Update to Suppliers Section

As promised in the August release, we are continuing with the next phase of updates to the Suppliers section of Graphite Connect. The Suppliers section will now be more customizable to how you want to view and sort your suppliers and you will be able to see a Connection Overview without leaving the page.

First, you will be able to click into individual suppliers on this page and see a Connection Overview without leaving the page. This overview will showcase information such as primary business owner name and email as well as other supplier details in one spot.

Second, the Supplier section will now, by default, show three columns: Company, Connection Stage, and Task. You will now be able to configure the columns of your Supplier section quickly and remove columns you find irrelevant, add new columns with relevant information and adjust column placement. Additionally, your column configuration will now be automatically remembered the next time you log in.

Third, we are adding a new column, Ready to Transact (RTT) that can be configured via a dropdown menu. Customers must work with their Customer Success Manager to turn on this feature.

Suppliers Can Add Multiple DBAs

Suppliers can now easily add multiple DBAs to their Graphite profile.

This feature will alter Graphite’s APIs to include the Other DBAs as an array instead of a single input in the Tax_DBA_Names_List API field. This will not impact the Primary DBA field. Customers who ingest Graphite data via our APIs should be aware of and proactively work with their Customer Success Manager to prepare for this change.

Download Projects & Contracts Data

Customers using Contracts and Projects within Graphite Connect will now have the ability to download a CSV of the table for reporting purposes.  This download capability will be available to those with permissions, which can be adjusted with your Customer Success Manager. If you have concerns about who can download this data based on your current configuration, please email your CSM.

GIACT Updates

For customers who currently have an integration with GIACT, you will now be able to see Pass/Fail status and the date when the report was run within Graphite without having to visit the full GIACT report.

New Connection Sub-Stages: API Change

To give customers better visibility into where your suppliers are in their onboarding process, customers will now be able to see the Connection Stages and a sub-stage. These sub-stage options will be “Started” or “Not Started”, and will reflect whether the supplier who received the connection request has taken action.

This will alter Graphite’s APIs to include a new field called “Connection Sub-Stage”. Customers who ingest Graphite data via our APIs should be aware of and work proactively with their Customer Success Manager to test and prepare for this change.

August 7,  2024

These release notes were updated Aug. 14 post-release to reflect changes made to the My Suppliers filter to improve performance and enhance the experience.

NEW! Find relevant Connections faster

image (27).png

As part of a larger enhancement to the user experience and reporting tied to Suppliers, we are launching the first of four updates to our Connection section in the August release.

In this first phase, the default filter when entering the Connection section will display only Connections related to you. The "My Suppliers" will show you any connection or supplier who:

  • You are the Primary Owner of;
  • You made a request of;
  • You have an open Task with.

This filter does not keep you from accessing the rest of your company's Connections in Graphite Connect, but streamlines your path to relevant suppliers and connections. To remove this filter, click "Clear filters". If you do remove this filter, Graphite Connect will remember your preference moving forward and you will see all suppliers by default.

More homepage visibility into onboarding progress

image (2).png

We’ve made a handful of updates to the Graphite Connect homepage and visual workflow view to include more insights into pending tasks and assignments.

First, we are introducing a new icon to show when a Task in the onboarding process is On Hold, and whether that responsibility lies with the supplier, an internal stakeholder or for another reason (“Other”). When a task is On Hold, it will appear with a yellow caution sign icon and you will be able to click into the Task for further details.

Second, we've added an information box to explain each Connection Stage in detail.

Assigning Topic Owners is now easier for suppliers

image (22).png

Suppliers onboarding will see a new UX designed to make it easier and more intuitive to delegate topic ownership like Information Security to their internal stakeholders. The change will move when suppliers are asked to delegate tasks to before topics are introduced and will not ask them to re-enter stakeholder information multiple times. The assigned Topic Owner will remain visible to the supplier throughout the onboarding process for Admins and Topic Owners.

More visibility into Task ownership

image (3).png

Previously, pending Tasks only designated broad ownership over a task to the Supplier’s organization. Now, the individual responsible for completing a Task will be visible, making it easier for your team to follow up with the right team member responsible for completing the assigned Task.

Do more with your Slack integration

Additional Slack notifications will now be enabled in the August release, including:

  • Messages. When messages are sent to a user through Graphite, you will be notified in real time.
  • Reminders. When you set a reminder in Graphite, you will now receive a Slack notification of that reminder in addition to the email notification.
  • Updates on Tasks & Approvals. Any updates to Tasks and Approvals will be pushed to Slack.

If you don’t currently have the Slack integration set up with Graphite, reach out to your Customer Success Manager to discuss functionality and pricing. Read more about the Slack integration here.

General Updates

image (4).png

Information within individual Projects and Contracts is now searchable and easily filterable by risk level in a new dropdown.

July 3, 2024

Important Update to Our Supplier Security & ID Verification

In our July release, we will move to a “Fenced Approach'' for verifying a supplier’s identity. This will allow non-verified supplier users to begin building the supplier profile but stops them from entering sensitive (e.g. tax and banking) data until successfully completing the identity verification process. This moves the ID verification process to later in the process when it is more contextually relevant.

Additionally, our Telecom Verification will be expanded to include phones registered in Germany, France, and Australia.

Less than 3% of legacy users currently using email as their two-factor authentication method will be asked to complete the identity verification process as well upon their next login.

Dive into our latest Knowledge Base article to discover everything you need to know about our Fenced Approach or watch our on-demand webinar to view a live demo and explainer from our Chief Product Officer Aaron Oyler. You can also access our change management hub in Zendesk to see how we will roll out these changes to new and existing suppliers and who will be impacted.

NEW! Share Connection QuickFilters

In Graphite searches, you will now be able to save your most-used filters across your teams to create a QuickFilter. Admins will be able to create these preset filters and share them to your entire organization. Use this new feature to make your everyday tasks in Graphite faster to execute and to share real-time lists with other team members to collaborate on supplier outreach.

Connection Stage Update: Pinpoint In-Progress Invites

Thanks to some great customer feedback, we’ll be updating our Connection Stages to allow you to see more details on whether an invited supplier has started their onboarding process. You will be able to identify both individual suppliers who have not yet started their questionnaire and be able to sort and communicate en masse with all suppliers in this stage.

Stages Text.jpg

Send Supplier Scorecards to More Than One User at a Time

You can now send a request to complete a Supplier Scorecard to multiple users at one time. This eliminates the need to send one scorecard request at a time and streamlines the supplier review process.

General Updates

As part of a 2024 project to ensure Graphite Connect is European Accessibility Act (EAA) compliant, we have made several accessibility updates to the design of the platform. We will continue these updates in coming releases.

In an effort to continually measure and deliver the best supplier experience, suppliers who complete their onboarding journey will now be prompted to complete a one-question NPS survey. Suppliers can decline to answer.

June 5, 2024

NEW! AI validation of the new Form W-9

Traditionally, Graphite has used OCR technology to read, populate and validate W-9 forms uploaded by suppliers and vendors. In our June release, we will begin leveraging AI to process these documents. This will streamline document validation and onboarding for all suppliers using the new Form W-9 version released by the IRS in March of 2024.

Suppliers will still be asked to upload their form, our AI will read and detect the version and identify any inconsistencies between the W-9 and submitted fields.

New SSO user data accessible to your organization

Customers will now be able to access additional data surfaced by SSO sign-ons, such as last login and the user’s title. These fields will only be accessible by your internal team; suppliers and vendors will not have access to this data.

These new data points can be managed by you in the SSO admin section of Graphite so you can customize what data is shown. No new data will be shown at release unless you adjust these settings in your admin tools. Read more on how to adjust your settings here.

General Updates

Several general usability enhancements are included in the June release:

  • Tasks will now display when a user last viewed it, helping you keep approvers and suppliers accountable and moving assignments forward.
  • Searches in Graphite will see a speed improvement, making it faster to find supplier profiles.
  • Required items for Pending Tasks will be easier to identify on mobile with some UX changes that highlight the required action. See an example below of this UX change.

Continued Enhancements to Security

Following the recent launch of ID verification, we are enhancing our security workflow using data from new users failing identity checks. While our system directs failures to a thorough review by our security team, we are streamlining the workflow to expedite the process, answer supplier questions in-app, and promptly notify inviting companies of high-risk users attempting to accept invites. See a quick video runthrough of the improvements here.

General Updates

Several general improvements have been made in the application to address various usability issues and enhance functionality:

  • We’ve improved our ability to identify duplicate bank accounts. Now, users cannot add a new account if it matches an existing account’s name, bank name, country, and account currency.
  • See historical changes to User Groups. An audit history of changes is now available on the User Groups page in the Admin section.
  • Task and approval modals are more responsive. A big thank you to the customer who reported this! Approval buttons are more visible and don’t extend below the page footer.

Updates to Projects User Interface

The Projects UI features an improved user experience on mobile and desktop:

  • Project pages are now easily viewable on mobile phones or smaller screens.
  • We’ve added more supplier information to the Projects interface, enabling you to access more data like current tasks or associated Projects without having to navigate to the Company Profile.

Moving forward, all new suppliers will undergo identity verification during onboarding. Learn more in our Security and Identity Verification on Graphite article.

New: Related Entities Pointers – In certain business relationships, it’s necessary for one entity to set up two companies to facilitate transactions; Graphite pointers offer a solution. These pointers enable data to be pulled from related entities based on custom business and security rules. This means that you can point to another connection and pull information from that record into the one in question. An example is pull banking information from related remits in parent / child relationships. This feature can be turned on for a variety of questions or data tables inside of Graphite. Please reach out to your customer success manager to find out more.

February 7, 2024

Update to Two-Factor Authentication, New Integration with Prove – Due to email’s limited security we are no longer offering it as a method for two-factor authentication. All users will be required to verify their identity and authenticate through a mobile phone number during the initial company creation. In tandem with this update we launched our new Prove integration that securely verifies users by matching phone data with the user's full name. This instant identity verification means changes to sensitive information made by Prove-verified users is automatically approved and decrease onboarding times. Learn more in our Two-Factor Authentication article.

Enhanced Projects – Shared Project tasks now display in connection profiles, enabling users to find all tasks pertaining to a connection in one location.

Refreshed UI – As part of last month’s release, we’re completing work on Graphite’s UI. The new components provide a cleaner look and better accessibility.

Invitation Redirects – We made it easier for suppliers to redirect the onboarding invitation to the correct colleague at their organization.

New Admin Permissions – In addition to the “Admin” permission, two new permissions allow your company to have more granular control over your organization’s Administrative controls. The two new Admin permissions, User Admin and IT Admin, have been automatically granted to Admin users of your company with this release. Please adjust the permissions across your organization as appropriate. For more information, view our support article. Find out more in our User Permissions for Buyers article.

Updated Company Cards – We updated and improved the card component on Graphite Connect by including the project type, unified layout, and simplified project statuses.

Toggle Legacy Suppliers from Onboarding Statistics – You may now ask your Customer Success Manager to toggle the inclusion of legacy suppliers from onboarding time calculations to give you control over what data you want in your home page supplier onboarding reporting data.

GIACT is only available for companies within the United States. More details can be found in our GIACT Integration article.

Workflow enhancement - update to approvalsThis enhancement updates how approvals are shown in the visual workflow. Now approvals that are denied will have a red “x”, rather than the standard completed green checkmark.

New notification for failed validationsA new notification will be sent to business owners when data cannot be validated on a connection they requested. This enhancement will also speed up the validation process on the backend.

October 4, 2023

Improving security with improved verification — We’ve enhanced the security of sensitive information by improving how information is verified. A new standard question is asked during the onboarding process to evaluate company size. Responses will help determine if the company is required to add a second approver/admin in the creation process. If a company only have a single user, they will go through offline verification methods for updates to banking information. Learn more in our Accepting an Invitation from your Customer article.

Better, faster banking validations — This release launched automated banking validations using the same screen reading (OCR) technology used for our W9 validations. This means faster validation time and faster onboarding.

Click and Share with better control — We've enabled you to be more selective in what parts of your Graphite profile are shared with new connections. Our Click Share feature, located in your profile, now allows you to specify which data and documents you want to share. Learn more about the Click Share feature here.

We’ve started to create updates for this email to better summarize what tasks you have and what’s been happening in your organization. To learn how to manage your email subscriptions through the Communication Preferences page click here.

New notification task for bank record deletions — A new task will be created when a bank record is deleted by one of your suppliers. This task will be assigned to the appropriate users within your company and notify them to review and update the banking details inside your ERP record.

September 6, 2023

Updated customer onboarding experience — Graphite is capable of handling both supplier and customer onboarding. With this upcoming release we’re improving the customer onboarding experience with a new Customer Overview page. This new overview page will host a message if there’s anything left to complete, the attestation that the customer’s answers are correct, and a message to notify customers they’ve completed their tasks.

Improved clarity in connection stages — This next release will update a few connection stages with more detailed labels. The new additions will include “Invite not yet sent” when the invitation has not yet been sent, and “Invite not yet accepted” when a supplier has been invited but not yet finished and submitted their profile. Both of these new labels will appear as filters in the Connections page.

Contact Center Update & Roles — The Contact Center found within Connection Profiles will receive an update, allowing companies to manage key contacts for each connection. The Contact Center will receive new filters and the new contact component - which can hold more information, like customer specific data, for every user. From this page you can also manage connection roles that are directly tied to their respective question/answer from the profile.

Updated connection tray — The new connection tray highlights your outstanding tasks more efficiently, making it very clear what each team member must do to continue the connection. It does a better job of informing you if the connection is pending task completion by your company or if the outstanding task is with the other company. Starting the connection is easier than ever, and Manage tasks clearly communicate if the relationship is ready for business.

Improvement to search — Searching for companies is easier than ever with improved search logic, and now you can search for specific questions or answers on an individual company profile.

Answer change management — In addition to notifying you when your connections change company data, your company will now receive (optional) tasks for critical changes (e.g. Banking information, updated W-9). These tasks help you ensure that data changes are properly acknowledged prior to updating your other business systems.

Miscellaneous — When needed, topic reviews can now be triggered manually. Minor enhancements to tables.

Reminders — You now have the ability to set reminders for questions or for topics. These reminders will automatically create a task for all appropriate team members when it becomes due. Scheduled topic reviews make use of this new feature and will trigger a new topic review on the requested date.

Question visibility — We have made enhancements to the rules that dictate when questions will display and have improved how question groups and tables render on-screen.

Miscellaneous — Continuing improvements to search and UI to increase clarity for common functionality. Implementation of a public-facing API. Fix default settings in the user profile. Improved overall system performance.

Inviting new companies — We updated the invitation modal on the Search Results screen for clarity and conciseness. This feature is used when a company is not currently in graphiteConnect and must be invited to join the platform before connecting with your company.

Miscellaneous — Improved search functionality. Minor enhancements to table view.
